Would you ever wonder how to plan an event? or Have you ever plan an event? As an associate of event management in club, I can tell that organize an event need to give a lot of effort even that event is minor or major. So, what are we need to do for an event and what are the steps? There are total of 4 major steps when creating an event which are planning, preparation, execution and post-event. You must be wonder how is it but it was not difficult at all.
First of all, I will talk about planning. There are few elements inside this topic such as topic choosing, type of events, expectation setting, timeline planning, speaker sourcing and marketing method. Before we choose our topic, we have to know the public interest and the topic we choose is align with our organization objective. For examples, objective of BYIC in UUM is to equip students with leadership skill and investment knowledge as well as preparing them to be the future leader., so the events they organize will almost be ETF, financial crisis, stock simulation etc. So, it is importance for us to understand our organization's objective. After we choosing our topic, it will have another question waiting for us which is what type of events we need to organize. Is It webinar, workshop, simulation task, competition or even pro-bono events? In this cases, we have to do market research and do survey for our competitors to make sure our events are outstanding and extraordinary than others. Next, will be expectation setting such as SMART. By using SMART, we can ensure that our goal are specific, measureable, achievable, relevant and time-based. After doing these three steps, we have to do a timeline planning. What is timeline? A project timeline is a document that chronologically shows a list of tasks, activities, and milestones, with dates, duration, and dependencies. It provides an overview of the entire project from start to finish. It might be a little confusion for you guys, but what we need to remember is a good timeline need to have dates, duration, task and roles. A timeline helps us to identify what we should do in that moment and makes our work more efficiency. Moreover, will be speaker sourcing and marketing method. We can find speaker via Facebook, Jobstreets, Linkedin, etc. The common platform we will use is Linkedin that we can easily know their background and contact info. Before we proceed to the preparation part, we also need to make sure the marketing method we used. There are several question when it comes to marketing method. For examples, What type of post? Which platform we used? What post are we needed? and also How frequent we need to post it? By clarify all these will help us more accurate and systematic when doing preparation.
Now, we will moved to the second part of event organizing which is preparation. Preparation is the most importance part during our event planning that it will include, proposal preparation, participants affair, logistics planning, external party approaching, event day slide and total amount of dry run. First of all, as we know that every single project or event we need to have a proposal as external or internal use. The uses of a proposal can let others committee member know every single detailed about this project and they can treat that as a reference while facing any difficulties. Moreover, participants affair is something related with participant's information such as application form, feedback form, info pack and even email draft. I believe everyone is familiar with application form and feedback form, but what is a infopack? Infopack is a file that gather everything such as event date, event agenda, places, speaker's profile, etc in a file for participants. Info pack can help organizing committee reduce their burden as well as help participants have a clearer understanding and expectation on the event day. Next, we have to plan about logistics which is about manpower allocation and roles. Manpower allocation and roles are important for committee that they can know their job scope on the event day. Whether they are screen sharer, event logistics, facilitators or emcee, they can easily know their job scope or roles while reading the logistics planning. Until this part, you might think organize an event is so much difficult but don't forget that everything is tough when we started to do it. I'm sure with so much effort to organize an event, the result and outcome will be memorable for everyone of us. So after logistics, what going to the next? I'm sure you guys already know it which is external relation proposal. External Relation Proposal which is a proposal that was written for an individual or organization outside your organization. It can help us find potential partners and provide stakeholders a clear understanding about our projects. From this, we can know that external relation proposal is for us to invite professional speaker, stakeholders to get sponsorship or learning materials. In this cases, we have to make sure our external relation proposal is professional which is avoid lousy content, grammar mistakes, inappropriate icon and pictures, etc. Lastly, we will talk about event day slide and amount of dry run needed. Event day slide is slide we need to share for participants on event day. We need to discuss with speakers and make amendment based on the information their given to us. After we finish our event day slide we can started to have internal dry run with committee members and external dry run with speakers. All we need to do is ensure everyone in the events is clear and know their own job scope.
I already talk about planning and preparation. So what's next? I will started to share about execution which is the third step of event planning. Execution part include event execution flow and speaker liaison. Event execution flow is a document that stated every details during the event day. This document will stated out when committee need to share screen, send feedback form in chat, time taker, etc. It will be a useful document for everyone to track our event progress so that the whole event will not delay. Moreover, what is speaker liaison? Speaker liaison is someone that handle everything about speaker. There are three things why we need a speaker liaison. First of all, speakers require a different service than delegates. It's mean speaker need better service compare to others. We need to find accommodation, food and transportation for them to let them feel satisfy during our collaboration. Second, we have to market our conference via influencers and keynote speakers. We as a speaker liaison can share the speaker's content that he will proposed to social media such as facebook, twitter or linkedin to attract people to join the events. Last but no least, a speaker liaison is important for the last minute changes. No matter an event are detail or how organize it is, emergency will still occur. At this moment, speaker liaison is important for an event when speaker have emergency things to do and they need to change their plan.
Finally, comes to our last step of event planning which is post-event. Post event is useful for every organization to check and analysis whether their event has achieve their KPI or not. We have to analyse our marketing post, feedback form, monetary used, total manpower used, etc in a document. And after that we need to gather all information we had analyse into a slide deck or pdf file which we called it as documentation. It is a good way to know our event have potential to re do it in our future or not. Moreover, it will also be a good reference for our future colleague to know the KPI we achieved and our work.
From this four step I have stated today, I believe everyone will beneficial a lot from this and learn how to organize an event. If you are eager to organize an event for your company or organization. Try this four step out, you will get a unexpected outcome and also teamwork spirit among your team members and also colleague! Today is the first day of my first curriculum activities in my third semester. Well, life is destiny, all my classes this semester starts in the morning which is 8:30am/10:30am. As a person who always stays up late, morning class is really hard for me to pay attention to. So, when I heard that today will only be choosing the committee, I was extremely relieved because I had a busy night, the previous night that made me slept at 6am and it was all to prepare for my competition which is organized by Maybank and ICUBE International. This competition is organized for 5 days, and I and my teammates are so lucky to get into the final stage which is one of the TOP 10 participants.
Let us get back to the main topic. While my mind was blown, I noticed that I was nominated as treasurer. At first, I was a bit nervous because madam mentioned many times that students who hold positions before are not allowed to take any position again. As I saw there are two more people competed for that pose as well and that got me thinking that I might not be so lucky to get the highest vote in class. But I was wrong, according to Murphy's law, "Anything that meant to happen will happen." I was elected as the treasurer. I started to feel worried and nervous so I immediately open my mic to inform I had taken a post as Head of activities last semester. In this case, I am glad that I was brave enough to voice out and give my opportunities to others instead of keeping silent. After that, madam started to distribute tasks to us and our class was dismissed. I'm glad that I'm still in the same group as my previous teammates because they were helpful and willing to share information in the group. We started to discuss how to design our Weebly website after class and study some useful techniques on youtube tutorials. I realize that teamwork and communication is a key point in-group that it will help us to complete our task more efficiently. Last semester, I was a bit shy and not willing to speak in front of people. But I get improved after I try to talk in front of the public and the public speaking curriculum has given me a lot of opportunities to train my way of presentation and communication skills. As for today's competition, I was having a pitching session with my teammates in front of the judges from Maybank. It was really nerve-wracking for us and I believed that if I didn't join public speaking as my curriculum, I wouldn't be brave enough to present in front of so many professional judges. For this semester, I hope that I can train my tone and my skills when I am presenting so that the audience wouldn't get bored when listening to my presentation, and to improve that, I will be watching more TedTalk videos, to observe how the professionals deliver their speech. I strongly believed that it will help me a lot in my presentation skills. Finally comes to our second public speaking class! As usual, madam started our class with an energetic and exciting tone. After that, madam revise us about our previous class which was reflection writing, video summary and also edit weebly websites. Madam encouraged volunteers to share about their video summary such as what is communication, communication barriers, speech purpose, audience analysis and organization of speech. Every volunteers gave a clear and comprehensive explanation to us. I get inspired by their enthusiasm to speak in the class and I would like to try to share my ideas in the future!
After the sharing session, madam started our class with a different topic which is event protocol and greetings. I get to know that there are many details we need to know if we are speakers to make sure everything run smoothly . Event protocols include event checklist, event timing, invitation, precedence, etc and we, as a speaker need to familiarize with all these details. Madam told us that our posture, the way we introduce ourselves, the way we shake our hands will represent our own image. In this case, we need to remind ourselves to take care of our own image. Moreover, we would need to avoid some subject while delivering a topic such as our health, cost of things, mean gossip and off-colour joke. Last but not least, we need to remember the precedence of the event to avoid any embarrasment. In conclusion, today class is insightful that i learn so much more in how to become a good speaker. Not only that, it also help me have a mind to build up my professional image before graduation. Today is our third public speaking class. As I thought today will be as per usual, madam sharing her screen, we scan our attendance. and after that we will start our class. But it wasn't! After we scanned our attendance, madam told us that today will be an independent class. Which means all of us will learn individually based on the slide uploaded in UUMOL. Moreover, madam gave us a task which is audience analysis and 15 mins speech script to finish before class ends. It was a little nerve wracking for me having to think of a speech title in an hour. After I read the slides, I had a couple of ideas in my mind such as consulting firm, how to raise a cat, etc. But, when I started to write it, my mind were lost, I don't really know how to elaborate my point for 15 mins long. At that moment, I stopped and rest for awhile, think about "Do I have something I have experience and I can share to people?". So, that's how my speech topic- How To Do A Successful Event comes out.
Public speaking makes me realize that I can share whatever I want towards my audience as long as it it useful and inspiring for people. Not only that, before we think about the topic of speech, we have to know our target audience based on the demographic. Is this topic useful for them? Or will this kind of topic too boring for them. We have to think every single detail for our audience to make sure they are satisfy our topic. In conclusion, even we are having independence class today but I still had so much fun and I learnt a lot during this session! After deepavali holiday, our fourth curriculum activity is coming soon too. As usual, madam share attendance for us and revise us for previous class topic which is audience analysis and speech draft. Madam had ask us did we faced any difficulties while doing speech draft and say that she will providing feedback before we record our speech. This is so good that we can know about our insufficient towards our speech draft and also having time to amend our draft.
For today lesson, madam had brief us about group task which is video presentation, infographic and reflection on group work. This kind of group task is so meaningful because public speaking is always an individual work, the emcee or speaker normally work alone on the stage to provide information and happiness to the audience. But, from this group task, we are able to feel the team spirit in public speaking, we are able to share our thoughts and information in group to make the task become more completed and perfect. After madam have finish briefing, our group members started to discuss how to do our task and who will be the one responsible for certain part. Discussion among team members are so nice and we are able to do things efficiency. While we are discussing our work, madam will send message via whatapps group to ask our progress and willing to help if we faced any problem. After we done our discussion, our group leader send our progress at 12:30pm as an evidence for madam to check our work. In conclusion, today class are knowledgeable and much of team work spirit that had made my day better during the discussion! Alarm rang at 10am, I move out my hand from my lovely and cozy blanket to close my alarm. After lying on my bed for around 10 minutes, I open my laptop and start to prepare for today public speaking class! Madam asked all of us to turn on our camera for photo shooting today. I'm a bit glad that I had wash my face before class so that I look more presentable when facing the camera! As usual, madam revise us about last lesson topic which is group video presentation.
Today, madam taught us on how to arrange speech. Madam had taught us in drafting our script chronologically which is followed by outline, draft, and arrangement of speech. By following all this steps, we can improve our script become better before video recording. After that, we have a class activity which is determine topic, thesis statement, main point, supporting point, etc from a script. This activity had help me to understand about the outline of a script. Moreover, I realized the importance in having a main body for our script. Lastly, we had a small sharing session to know each others' panic moments during public speaking. It makes me know that not everyone is perfect and all of us will seek for improvement in our life. To conclude, today class make me have a reflection toward myself and try to have a better improvement my public speaking skills in the future. Having to wake up on a beautiful Saturday was a blessing to me especially when personally I knew that I will be learning something new even though we do not have a class with madam. At first, madam let us to scan our class attendance before we start our ONCE activity today in Facebook Live which entitled "UUM Menghargai Ibu & Ayah (UMI) melalui Seni: Kasih Keramat Sejati". Due to some technical issues, the ONCE activity was delayed for approximately 15 minutes. While waiting, madam kept telling us that the activity will start soon and convince us not to be worried.
In the live session I learnt a lot of different things but the 1 solid thing that gave me the biggest impact was how important parents and especially Mother is to us. I always knew she is important but not to an extend of how important or how to treat her properly but from this session I finally figured it out! First, we are supposed to respect anything that were given by them no matter what our emotion is. Second, we are not supposed to reject or throw tantrum to our parents even though the opinion is different. Third, we should not raise our voice toward them. Next, we should always take care of their heart and always ask for their blessing especially when no parents in this world would want something bad for their children. Lastly, we should always offer a helping hand to them without them asking us to do so. These are the 5 main things I’ve learnt throughout the session and I’m proud to say that it has improved me further in how I treat my parents. Besides, there are also concert, poetry that were performed during the live show. It was so entertaining and gave us a memorable moment. Even though we did not have our class as per usual, but the activity today has benefited me in many different aspect and I am excited for the next session like so. Today is our last class of public speaking. It's quite sad for me that I can't learn new things from madam this semester anymore. As usual, we scanned our class attendance today. Madam told us an exciting news which was, we can suggest activities for our next semester classes! It was so exciting for me that we finally have physical activities for our class. Not only that, we can finally meet each other next semester! After Michelle sent the google form for us to fill in the activities we hope to organized. Madam opened up an QnA session for us to ask about tasks and activities she has given during this semester. Madam solved most of our doubts and questions, it made us more confident while doing our tasks.
Not only that, madam helped checking our group task which was infographic. She commented and gave her advice on our group work for us to amend our work to make it better. Besides, madam have given us time to repolish our individual speech and record it during our class time. Lastly, madam has set a due date for the task which is 2nd of December 2021. At the end of the class, madam have shown her appreciation towards our cooperation during this semester. I glad that we have lecturer like this to teach us and always offer her great help. I have learned a lot in this semester, not only public speaking skills, but also communication skills, teamwork and even leadership. Hope to see madam in good health in the upcoming semester. |
Group Task Reflection
Every journey must come to an end that does not exclude our group task as well. It was a tiring yet fruitful couple of weeks and we have finally compiled all our task into one amazing result. To kick start I would like to take this opportunity to thank UUM and madam for providing us such an amazing study and growing material, undoubtedly it has built us into both a better individual and a better groupmate.
As most of the groups, we started by learning about each other and making positive energy around us before proceeding to work on our task. Looking back at my team’s entire process of the project, I genuinely enjoyed the entire process although there were many ups and downs along the way. When we first got informed about the project, we were all lost and had no idea what to do. Our leader immediately organized our first meeting to get everyone started with the project. We gave roles in our group, and we ensured that they know what everyone’s responsibility are. I find what I did well was being able to communicate effectively with my teammates to achieve better efficiency and teamwork. I send important details of my work to every member and inform them through message. I also respect everyone’s ideas and work and give a positive tone when talking to them. So, this enables me to work better in my team as we are able to communicate effectively. Throughout the entire process, I learnt that trust, communication and most importantly teamwork is very important. Trust in teammates is something important as successful teamwork is achieved by a foundation of trust. Every member needs to be able to trust his team members to contribute to the team and its goals. Communication is necessary within a team and with all the method above we were able to produce this amazing final product. He guides the development of the team and able to pre-empt problems that could happen. Lastly, focusing on communication also allow us to work together. If the progress of a project changes, or there is something important to announce, we would let everyone know immediately. In that way, we ensure that everyone is on the same track.
In fact, I would like to take this opportunity to explain what all my groupmates has done throughout the process. As for our leader Mr. Kai Sheng has demonstrated values of a leader should have. He has been guiding from the very first day of our discussion, telling us what the problem of this would be and what can be improved and etc. Instead of thinking all about himself, he ensured all of us understand what the task is and how to begin, he even helped those that were lost during the process of discussion vice versa when he faces problem during the process all of us would do the same to help him figure things out as well and from this process, we have all learned how important teamworking, communicating and listening to each other is. Follow up would be Carmen, our precious video editor and Zi Qing. Undoubtedly, they are both very interesting group members as of the way they both presented themselves, the way they communicate and the way they both questions everything is just amazing. As for Zi Qing, she would remember most of the things that we have discussed in detail, in classes where some of the points madam mentioned that we have forgotten, she would show out the notes she has jotted down and tell us and for Carmen she would question things in a funny matter and she would always listen to us whenever we come up with some ideas or any other thing and she would even ask for our opinion when she was editing out videos. Generally, whenever we face problems both Carmen and Zi Qing would stand out to discuss it with us and listen to us.
Followed by Jing Lin and Fatin, they both has demonstrated the skill of listening and critically evaluating oral message incredibly. Jing Lin would listen to us carefully and break down what we have mentioned and what we have discussed in a simpler term. And for Fatin she would carefully listen to what we have said and cautiously explain what her thought was and critically discuss it with us. Not only that, but they also both provides great questions, and they would constantly write down the important thing that were mentioned and whenever problems occurred on my side, I would approach them and seek for advice. Lastly, me myself. Personally, I would say I am an idea provider, and I was enthusiastic throughout the entire process. As someone who is curious about everything, I will constantly ask about everything that seek my curiosity and pay attention to everything that both madam and my groupmates has mentioned and as I would be worried of missing some important points, jotting down notes is always a technique I would use.
In conclusion, our group has demonstrated beyond everyone’s expectation and proudly to say, all of us possesses amazing questioning, listening, discussing, and teamworking skills. At the end of the day, we have learned that this task was not all just about finishing it and submitting but it was to train us, preparing us for the future in working together as a team and we must be patient in handling each other especially when problem occurred. Undoubtedly, I would love to work with these amazing teammates again in the near future.

I find what I did well was being able to communicate effectively with my teammates to achieve better efficiency and teamwork. I send important details of my work to every member and inform them through message. I also respect everyone’s ideas and work and give a positive tone when talking to them. So, this enables me to work better in my team as we are able to communicate effectively. Throughout the entire process, I learnt that trust, communication and most importantly teamwork is very important. Trust in teammates is something important as successful teamwork is achieved by a foundation of trust. Every member needs to be able to trust his team members to contribute to the team and its goals. Communication is necessary within a team and with all the method above we were able to produce this amazing final product. He guides the development of the team and able to pre-empt problems that could happen. Lastly, focusing on communication also allow us to work together. If the progress of a project changes, or there is something important to announce, we would let everyone know immediately. In that way, we ensure that everyone is on the same track.
In fact, I would like to take this opportunity to explain what all my groupmates has done throughout the process. As for our leader Mr. Kai Sheng has demonstrated values of a leader should have. He has been guiding from the very first day of our discussion, telling us what the problem of this would be and what can be improved and etc. Instead of thinking all about himself, he ensured all of us understand what the task is and how to begin, he even helped those that were lost during the process of discussion vice versa when he faces problem during the process all of us would do the same to help him figure things out as well and from this process, we have all learned how important teamworking, communicating and listening to each other is. Follow up would be Carmen, our precious video editor and Zi Qing. Undoubtedly, they are both very interesting group members as of the way they both presented themselves, the way they communicate and the way they both questions everything is just amazing. As for Zi Qing, she would remember most of the things that we have discussed in detail, in classes where some of the points madam mentioned that we have forgotten, she would show out the notes she has jotted down and tell us and for Carmen she would question things in a funny matter and she would always listen to us whenever we come up with some ideas or any other thing and she would even ask for our opinion when she was editing out videos. Generally, whenever we face problems both Carmen and Zi Qing would stand out to discuss it with us and listen to us.
Followed by Jing Lin and Fatin, they both has demonstrated the skill of listening and critically evaluating oral message incredibly. Jing Lin would listen to us carefully and break down what we have mentioned and what we have discussed in a simpler term. And for Fatin she would carefully listen to what we have said and cautiously explain what her thought was and critically discuss it with us. Not only that, but they also both provides great questions, and they would constantly write down the important thing that were mentioned and whenever problems occurred on my side, I would approach them and seek for advice. Lastly, me myself. Personally, I would say I am an idea provider, and I was enthusiastic throughout the entire process. As someone who is curious about everything, I will constantly ask about everything that seek my curiosity and pay attention to everything that both madam and my groupmates has mentioned and as I would be worried of missing some important points, jotting down notes is always a technique I would use.
In conclusion, our group has demonstrated beyond everyone’s expectation and proudly to say, all of us possesses amazing questioning, listening, discussing, and teamworking skills. At the end of the day, we have learned that this task was not all just about finishing it and submitting but it was to train us, preparing us for the future in working together as a team and we must be patient in handling each other especially when problem occurred. Undoubtedly, I would love to work with these amazing teammates again in the near future.

Communication is a process to exchange their ideas, values, thought, feeling, and actions with others and it is also an information transfer from sender to receiver. Information, ideas, and attitudes can be an exchange between individuals.
Moreover, there are numerous definitions for communications by different authors but at the end of the day, the meaning was extremely close from one to another. First of all, according to Newman and Summer, "Communication is an exchange of facts, ideas, opinion or emotions by two or more persons" and for the second one, according to Cumming M.W, "The word communication describes the process of conveying messages such as facts, ideas, attitudes and opinions from one person to another so that they can understand". Even though the writers were different but the meaning behind these two sentences is the same. Moving on would be the element of communication. Six elements in communication start with a referent that means a reference motivates the sender or receiver to share pieces of information that initiate communications. Next would be the sender which is the person who encodes and sends the message to the receiver through an appropriate channel. Follow up by message. The message is the content of communication and may contain verbal, nonverbal, or even symbolic language, and it is often due to the perception and personal factors of both the sender and receiver. Forth is the channel. Channel is the medium through which a message is sent or received between two or more people. A receiver is an individual or group intended to receive or decode the message received. Lastly, feedback. This is meant for the return message sent by the receiver to the sender and it can be both verbally and nonverbally. Finally, there are a few reasons for communications first of it would be by doing verbal communications which occur through spoken or written and its a combination of several words and each word conveys a specific meaning. Some important elements of verbal communication are language, vocabulary, clarity, intonation, and many more. Secondly would be nonverbal communication which occurs without wording, in which the five senses and whole-body movement, posture, gesture, facial expressions, and silence are used for sending and receiving messages. It's also the more accurate way of communication because it conveys the true and intending meaning of the message. |
